How Vinco prices work

Three ways a number reaches your invoice.

Every price you get from Vinco comes one of three ways: time and materials, a published unit price, or a written proposal. Nothing is made up on the spot.

Time and materials

Troubleshooting and repair labor at $165 per technician per hour, plus parts and materials at cost plus markup. Overtime (after hours, weekends, federal holidays) bills at 1.5×. You pay for the actual time worked.

Published unit prices

Fixed rates, printed on this page: the $199 diagnostic, the $49 travel fee, maintenance at $165 per indoor unit and $199 per condenser per visit, and lump-sum items like coil cleaning. Same published rates for residential and light commercial; larger buildings are quoted per project.

Written proposals

Replacements, new installations, and larger scopes get one fixed price in writing: labor, equipment, materials, and permits in a single number, valid for 30 days. New system estimates are free.

Hours and overtime

Standard hours are Monday to Friday, 8:00am to 4:00pm Eastern. The $199 diagnostic covers up to one technician-hour on site. Beyond that, labor bills at $165 per technician per hour. Outside standard hours, on weekends, or on federal holidays, labor bills at 1.5× the rate, $247.50 per technician per hour. Two techs on the job means two tech-hours per clock hour. Diagnostic and travel fees do not change.

Diagnostic time

The $199 diagnostic covers up to one technician-hour on site. Time beyond that, whether continued diagnostic or follow-on repair work, bills at the labor rate per technician per hour. Two techs on site means two tech-hours per clock hour, residential or commercial. The overtime multiplier applies the same way after hours and on weekends or holidays.

Diagnostic fee: payment and cancellations

  • Charged at booking. The $199 diagnostic fee is charged at booking to reserve the appointment, not at the visit.
  • One-hour visit cap. The diagnostic visit is capped at one technician-hour on site. Time beyond one hour bills at the standard labor rate of $165/hr per technician.
  • Cancellation policy. Cancellations made less than 24 hours before the scheduled appointment forfeit the diagnostic fee. Reschedule requests made more than 24 hours in advance may transfer the fee to the new appointment at Vinco's discretion.

Example: for an 8:00–10:00 AM Tuesday appointment, cancel more than 24 hours out (by 8:00 AM Monday) and the fee is refundable or transferable to a reschedule at our discretion. Cancel inside 24 hours and the $199 is forfeit.

During the visit

What we can fix on the spot, and what needs an estimate.

Your $199 diagnostic fee is credited toward the invoice if you proceed with a major repair or replacement. Major means work over $2,000, or any equipment replacement (compressor, coil, motor, controls board, complete unit), refrigerant-system work beyond a top-off, or multi-day install. Same-day fixes under $2,000 are handled under a signed Service Authorization and do not qualify for the credit.

Not major: same-day work under the Service Authorization

Non-major work meets both tests: under $2,000 AND finished the same day using consumables and on-hand parts. It proceeds under the Terms and Conditions of a written Service Authorization you sign at dispatch, before the technician arrives, so the technician can repair and get the system running without waiting on a written quote. Examples:

  • Coil cleaning
  • Refrigerant recharge or top-off
  • Filter, contactor, or capacitor swap
  • Drain line clear
  • Minor consumables

When only non-major work is done at the visit, the $199 stays as the diagnostic fee. The credit applies only when you proceed with a major repair or replacement.

The Service Authorization, in plain terms

At dispatch, after you book and before your technician arrives, we send you the written Service Authorization to sign. It authorizes qualifying minor repairs, under $2,000 and completed the same day on consumables and on-hand parts, so one visit can end with a running system instead of a second appointment.

  • Fixed the same day. The technician repairs on the spot instead of scheduling a return visit and a second travel fee.
  • No surprise scope. It covers only the non-major list above. Anything over $2,000, or any equipment replacement, stops and gets a written estimate first.
  • You stay in control. Stop work at any time in writing, and nothing beyond the authorized scope happens without your approval.

Major: always a written estimate first

Major is a threshold-or-scope test. Any one of these makes the job major, and major work always gets a written estimate before it proceeds, never a verbal approval:

  • Work totaling over $2,000
  • Equipment replacement: compressor, coil, motor, controls board, or complete unit
  • Refrigerant-system work beyond a top-off
  • Multi-day install, or scope that requires ordering equipment

You can stop work at any time

The Service Authorization is not a blank check. You can stop work at any point by contacting the office in writing at admin@vincomechanical.com and asking for a written quotation on any remaining non-major items. We hold off on those items and send a written quote promptly. Nothing else gets done until you approve it.

How often

Residential systems typically need two visits a year, spring and fall. NYC commercial buildings need quarterly service at minimum; restaurants and 24/7 operations run tighter cadences. Documented regular service is also what most manufacturer warranties require on commercial-grade equipment.

Every service call starts with a diagnostic, a full evaluation of your system. The technician identifies the problem, explains what is happening, and puts real numbers in front of you before any work proceeds: a written estimate for major work, the Service Authorization signed at dispatch for same-day minor fixes.

Financing is offered by a third-party lender, not by Vinco Mechanical. Loan terms, approval criteria, and disclosures are set by the lender. We hand off the application and the lender makes the credit decision.

Option 1

Hourly rate plus parts and materials

We work at our standard $165/hr labor rate and bill parts and materials at cost plus markup. You pay for actual time worked and materials used. Common for smaller repairs, troubleshooting, and jobs where the scope is straightforward. You always know the hourly rate going in.

Option 2

Written estimate, fixed price

For larger jobs (system replacements, new installations, major repairs) we provide a written estimate upfront that covers everything: labor, parts, materials, and permits as a single fixed price. You know the total before we start, and that number does not change.

13Why is there a separate travel fee?
NYC congestion pricing and fuel costs affect every contractor operating in the five boroughs. Rather than burying this cost in a higher diagnostic fee, we break it out at $49 so you can see exactly what you are paying for. Same flat rate for every visit, every borough. The travel fee is never credited.
14Can I get a fixed-price estimate instead of hourly billing?
Yes. Just request an estimate in advance and we provide a written fixed price that covers labor, parts, materials, and permits as one number, no surprises. This is recommended for larger repairs and all system replacements. For smaller service calls, hourly plus parts is typically more straightforward.
15What are the three ways Vinco prices work?

Written estimates are valid for 30 days from the date issued. After 30 days, pricing is subject to repricing based on equipment cost, material cost, and labor-market conditions at the time work is scheduled. We hold the quoted price for 30 days; beyond that we revalidate each line item before work starts and reissue an updated estimate for approval.
17How does the 0% financing work?
0% interest for up to 24 months on qualifying installations and replacements, offered by a third-party lender (not by Vinco Mechanical). No hidden fees, no balloon payments. We hand off the lender application when we provide your estimate; the lender makes the credit decision. Weekly payment plans starting at $69/week are also available through the same lender.
